Event Questions

Here is an update on the food for our event:
Morning refreshments – Museum entrance hallway (40) and outside (Yager Patio or tent on Frisbee Field) (85)
  • Coffee and brewed tea
  • Mini Muffins – blueberry, maple, pumpkin
  • Cubed melons, strawberries, grapes, apples

Lunch – Yager Patio or tent on Frisbee Field (125)

  • Turkey Chili
  • Corn muffins w/ whole roasted corn kernels
  • Long grain and wild rice with dried cranberries
  • Pumpkin soup with whole-grain bread
  • Maple cookies
  • Apple cider (hot and cold), ice water
As we continue our event planning, here are our questions to be addressed:
  • What are the set up requirements for beadmaking and flint napping (tables and chairs...if so, how many)?
  • What is involved in training for the beadmaking activity?
  • What do we need for ropemaking? And where would it take place?
  • What is our marketing plan?
  • Other questions or comments?

The questions that seem most pertanent for our class to answer would be: rope making place?? it seems we all agreed outside would be better b/c of the clean-up issue...i also think it would connect the Yager beading component with the outside as well provide another easier engaging acitivity outside for those who decide not to do flint napping.
Marketing: I think an email should go out on Z-list. Perhaps cards in the freshman's mailboxes?? Maybe suggest an article for Hilltops. Lets get a facebook event. Posters of some sort are need. Larger ones the day of to attract passers-by, maybe some smaller ones in key locations on campus. I agree with Donna that a little zip/shine/3d element/texture would catch attention, b/c lets face it we are bombarded with adds. And after break, lets get the word out...word of mouth and telling friends is the best way to talk it up.

Hey everyone,

Flintknapping and cordage all can be done outside with a blanket/canvas cloth, which can allow everyone to work with stone or plants yet have easy cleanup.

Also, beading is great on tables, where lots of people can sit around and work with containers of beads and other materials. We would probably need two large folding tables, chairs, an a fineweave tablecloth or blanket covering to provide atmosphere and keep beads from bouncing and rolling around.

As far as anything visual to attract people to the event, we could use sapling poles with feathers attached, in the wind, maybe some large turkey feathers or goose or something, that could lead from our place on the lawn to the museum? We would probably need about 10 or 12 poles, thin, and then just push them into the ground, or something similar. That would be on thing to help, anyway.

Do we want to have a wind/rain plan too, just in case?

Ricardo- we had the same thought about a rain plan. We are planning on renting a tent for our back up plan.

Marketing: I think that as far as making the posters pop out and three dimensional we could maybe add like sand or dirt to the surface of the poster> to go along with the whole earth day thing, and I think it would catch people's attention. And I don't know if anyone esle has noticed this but people always seem to read the signs hung up in the bathrooms ( like when you are brushing your teeth or something) and since everyone brushes their teeth (hopefully) it would be a good way to get the word out to all the students in the dorms.
And as I think everyone had said, I think that the flint napping and rope making should be outisde.

I want to give a short logistical update on the program.

While we do have 3 tables reserved and about 7 in the museum for use in the beading activity, we cannot afford to have chairs outside (they would be rented at a significant price and the delivery cost is daunting). So, we should plan for blankets or tarps if we do want to have sit down activities outside. We can use our own chairs for the beadmaking activity.

It looks as if our project budget with slightly scaled up food is $3,500. I've sent requests for support to various organizations around campus and will get back to you when we receive feedback.
